Privacy Policy

1. Who we are and what this covers

iFixediT, Inc. ("iFixediT", "we", "us") is a Delaware corporation that runs an IT support service: Fixie, our AI assistant, live remote support agents, Protected computer (included in paid plans), and, as they open in each area, on-site technicians. This policy covers the iFixediT mobile app, the web app, this website (ifixedit.io), and the emails and texts we send. It applies to customers, to people who apply to be support agents or technicians, and to visitors to this site.
For privacy questions or requests, write to contact@ifixedit.io.

2. What we collect, and where it comes from

What you give us
  • Account details: name, email address, phone number, city or service area, time zone, and the role you choose (customer, support agent or technician). If you sign in with Apple or Google where offered, we receive the name and email that provider shares with us.
  • Support content: the tickets you open, messages and photos or files you attach, chats with Fixie, and the details of any call with Fixie or a support agent. We keep a written transcript and summary of Fixie calls. We do not record call audio ourselves, but your voice is processed live by the providers in section 6.
  • My setup: the devices, software and notes you save so you do not have to repeat yourself.
  • Your service address, when you ask for an on-site visit.
  • Payment details: cards are entered in a payment form run by our payment processor. We receive the payment result and a reference, not the full card number. Subscriptions bought through the App Store or Google Play are handled by Apple or Google, and we receive the purchase status through a subscription management provider.
  • If you apply as a support agent or technician: your resume, identity or verification documents, a W-9 tax form and payout details (payouts run through our payment processor), and your skills and availability.
  • Forms on this website: contact messages, survey answers, signups and applications, and newsletter signups.
What we collect as you use the service
  • Location. If you are a technician, your phone location while you are on duty and the app is open, so we can match you to nearby jobs and show customers that you are on the way. We do not track location in the background. If you are a customer and you allow location access, we may use it to find nearby help. You can turn location off in your phone settings.
  • Push notification tokens, so we can send alerts to your device.
  • Your consent choices, such as which version of the Fixie agreement you accepted and when.
  • Website visit data: pages viewed, the page that referred you, and campaign or ad click identifiers in the link you arrived from (see section 8).
What we get from others
  • Our payment processor, Apple, Google and our subscription management provider tell us whether a payment or subscription went through.
  • If your business asks us to manage its computers, our device management software provider gives us the device details described in section 5.
  • Fixie writes short facts from your finished tickets and calls (see section 4).
The iFixediT app has no advertising or analytics software inside it. We do not use the app to track you across other apps or websites.

3. How we use it

  • To run the service: create your account, answer your questions, match you with an agent or technician, take payments, and pay agents and technicians.
  • To send you messages about your tickets, visits, payments and account, by push, email or text.
  • To keep the service safe: prevent fraud and abuse, resolve disputes, and enforce our Terms of Service.
  • To improve Fixie and the service, including the shared lessons in section 4 if you agree to them.
  • To measure whether our website and ads work (section 8).
  • To send you our newsletter, the Your IT digest, and how-to emails, which you can stop at any time (section 9).
  • To meet legal, tax and accounting duties.
We do not use your information to make decisions with legal or similarly significant effects on you, such as credit, housing, employment or insurance.

4. Fixie, our AI assistant

What Fixie sends to AI providers. To answer you, Fixie sends what you type, what you saved in My setup, the facts it remembers about you, and the subject and summary of your recent support tickets to AI model providers that process it for us. We use more than one provider so that Fixie can still answer when one is unavailable. Voice calls with Fixie send your voice to a real-time audio provider that carries the call and to an AI model provider. When you turn on Search the web, your question goes to a web search provider. The app asks for your agreement before Fixie does any of this, names the providers in that request, and asks again if the wording changes. You can also ask us for the current list of these providers (see section 6).
What Fixie remembers about you. After a ticket or call finishes, Fixie writes short, dated facts about your setup and history, for example the model of your laptop, so you do not have to repeat yourself. Each fact must be backed by words you actually used. You can see, correct and delete these facts, or delete all of them, in My setup. Facts older than 24 months are deleted automatically, except facts you corrected yourself.
What Fixie learns for everyone. If you agree to it in the app, what fixed a problem, or did not, can become a general lesson that helps Fixie with other customers. This option arrives with a newer version of the app and applies only to customers who accept it. Before a lesson is written, we remove names, businesses, contact details, addresses and computer names, and we discard a lesson that still contains anything personal. A lesson is used for others only after our staff review it, and only once cases from at least two different paying customers back it. Lessons are written so they do not identify anyone. If you withdraw your agreement, use Forget everything, or delete your account, your cases stop counting toward lessons, and a lesson built only from your cases is deleted.
Other AI checks we run. We also use an AI model provider for four background tasks. It checks a proposed fix against your computer's details and your ticket before the fix runs, and if it cannot confirm the fix fits, the fix does not run and a person takes over. It reviews each shared lesson for anything that could identify you before the lesson is stored. If you agreed to the current wording in the app, it also writes the short opening of your IT digest from the same facts the digest shows, and labels the cause of your solved tickets from their subject, description and the steps that fixed them.
Limits. Fixie is an automated assistant and can be wrong. Do not rely on it alone for decisions about safety, health or the law. Do not type passwords, card numbers or other secrets into a chat. If you do, tell us so we can remove them.
Our AI providers handle the data they receive under their own terms and privacy policies. We choose the settings we can, but we do not control how they run their systems.

5. Computers we manage, and Protected computer

If your business asks us to manage its computers, we connect to them through device management software from a software provider, only after you confirm the link in the app. We read device details such as each computer's name, operating system and version, memory and disk size. We do not keep logged-on user names, serial numbers, product keys, addresses or network adapter details, and we do not read your files. A fix runs on a computer only after you tap Allow and it passes the automated check in section 4. We keep these device details while the link to your business is on. They are removed when the link is removed, and also if you use Forget everything or delete your account.
Protected computer. Protected computer is included in paid plans, and you turn it on for one Windows or Mac computer at a time. We ask for your agreement for each computer before anything is installed, and you can turn it off for a computer at any time in the app. When it is on, we install two programs on that computer: a management agent and security software, each from a specialist software provider. The consent shown for each computer names both programs before you agree, and their names may appear on your computer.
The security software can see the programs running on the computer, the files on the computer that it scans, and the network connections the computer makes. The management agent reports the computer's health, update status and disk space. This information is reported to the security provider's cloud service and to iFixediT. The iFixediT staff who work on your ticket can see the report. We do not read your documents or email. The security software may block or quarantine a file on its own when it finds a threat, and any other fix runs after you, or the trusted IT contact you named, tap Allow on that ticket. Autopilot is off until you turn it on for a computer. When it is on, Fixie tells you 15 minutes before each small, safe fix so you can cancel it or run it now, and tells you when it is done. Anything involving files, accounts or security settings always goes to a person.
J FixediT LLC, a managed IT provider, staffs and operates Protected computer on iFixediT's behalf and sees the same reports and tickets. J FixediT LLC is under common ownership with iFixediT, Inc. If you turn Protected computer off for a computer, we remove the programs, we stop collecting from that computer, and protection ends. Alerts and tickets that came from the computer stay as support cases (section 10). These software providers handle the data they receive under their own terms and privacy policies, which are linked from the consent for each computer.

6. Who we share information with

Our own team. A support agent or technician assigned to your case sees your first name and the details of that case. We do not give customers, agents and technicians each other's email addresses or phone numbers: contact happens inside the app, or through emails and texts that iFixediT sends. When on-site visits are open in your area, a technician on your visit also sees your service address. Our administrators can see more, as needed to run and secure the service.
Service providers. These types of companies process information for us, for the purposes below:
  • A cloud database and hosting provider: our database, sign-in, file storage and server functions.
  • A web hosting provider: hosting for this website.
  • A payment processor: card payments, subscriptions, and payouts to agents and technicians.
  • Apple, Google and a subscription management provider: App Store and Google Play subscriptions, and sign-in with Apple or Google where offered.
  • AI model providers and a web search provider: Fixie answers, call handling, ticket summaries and tags, fix checks, lesson reviews, digest openings and cause labels (section 4).
  • A real-time audio and video provider: live audio and video for calls with Fixie and with support agents.
  • Push notification services from Apple and Google: push notifications.
  • A text message provider: text messages about your tickets and account.
  • An email delivery provider: email delivery, including the newsletter and digest.
  • Device management and remote support software providers: managed computers, only if your business asks for it, and the management agent for Protected computer (section 5).
  • An endpoint security software provider: the security software and its cloud service for Protected computer, only for computers where you turned it on (section 5).
  • J FixediT LLC: a managed IT provider that staffs and operates Protected computer on iFixediT's behalf (section 5).
  • Google Analytics, Google Ads and the Meta Pixel: website measurement and ad conversion tracking (section 8).
The list of the specific companies in each category above is available on request. Write to contact@ifixedit.io and ask for the service provider list.
We also share information when the law requires it, to answer a valid legal request, to protect people or our rights, and in a merger, sale or financing, in which case this policy keeps applying to the information unless we tell you otherwise.

7. Selling and sharing

We do not sell your personal information for money, and we do not sell your tickets, chats or Fixie data. We do not use your support content for advertising.
The measurement and advertising tools on this website (the Meta Pixel, Google Ads and Google Analytics) send information about website visitors to Google and Meta. Under some state laws, such as California's, that can count as "sharing" for cross-context behavioral advertising, or as "targeted advertising" or a "sale" in other states. We tell you here so you can opt out. These tools run on this marketing website, not inside the app, and receive page visits and conversion events such as submitting a form, not the contents of your tickets or chats. Section 8 explains how to opt out.

8. Cookies and analytics on this website

When we have turned them on, we use Google Analytics and Google Ads to measure how visitors reach this site and whether an ad led to a signup, and the Meta Pixel to measure the same for ads on Facebook and Instagram. These tools use cookies and similar technology and may send Google and Meta limited data, such as pages visited, your IP address and browser details, and ad click identifiers.
We also keep our own simple funnel counts: an anonymous random session ID kept in your browser's session storage, the page, the referrer, and the step you reached, such as a button click. They contain no names or emails. We also hold the campaign tags and click identifiers from the link you arrived on in your browser session so they can follow you to our app.
Your choices. You can block or delete cookies in your browser, or use a tracker-blocking extension. You can opt out of Google ad personalization at Google Ads Settings, install the Google Analytics opt-out add-on, manage Facebook and Instagram ads at Meta Ad Preferences, or use the industry opt-out page at optout.aboutads.info. You can also email contact@ifixedit.io and ask us to treat you as opted out.
Global Privacy Control and Do Not Track. If your browser sends a Global Privacy Control signal, our website does not load the Google or Meta tags described above for that visit, so nothing is shared with them for advertising or analytics. We treat that signal as a request to opt out of sharing. Our website does not respond to Do Not Track signals, which have no agreed meaning; use Global Privacy Control or the choices above instead.

9. Email and text messages

We send account and support messages because they are part of the service. We also send our monthly newsletter, the weekly Your IT digest, and a short series of how-to emails to people who signed up or have an account. Each of these has an unsubscribe link, and the digest can also be changed in the app under Settings, then Notifications. Turning off the newsletter, digest or how-to emails does not stop messages about your tickets, payments and account. To stop text messages, reply STOP where your carrier supports it, or email us.

10. How long we keep information

  • Payment, payout, invoice and tax records, including technicians' W-9 forms and contractor agreements: 7 years after the transaction or the end of the work, for tax and accounting law. Application documents from agents and technicians (resumes, identity and verification documents, certificates) are kept on the same schedule: 7 years after the end of the work, or after the application was turned down.
  • Support cases (tickets, messages, Fixie chats, call transcripts and summaries, photos and attachments, and fixes and their results): 3 years after the case is closed. If a payment record that is still within its 7 years refers to a case, we keep a bare record of the case, without its messages.
  • What Fixie remembers about you: up to 24 months after the ticket or call it came from, or sooner if you delete it. Corrections you made yourself stay until you change or delete them. Corrections you make yourself are kept until you remove them.
  • Shared lessons: they contain nothing that identifies you. Your cases stop counting toward them when you withdraw your agreement or delete your account.
  • Managed-computer details: while the link to your business is on. They are removed when the link is removed.
  • Protected computer: the computer's health, update and security reports are collected only while Protected computer is on for that computer. Alerts and tickets that came from it are support cases and follow the 3 year rule above.
  • Website forms (contact, sign-up interest and surveys): 2 years. Newsletter: until you unsubscribe.
  • Your account: while it is open. When you delete it, we remove your login, name, phone number, profile photo, saved locations, notification settings, push tokens and uploaded documents, and we cancel any subscription we bill through our payment processor. What Fixie remembered about you is removed too. After that, the same email address cannot be used to sign up again. Records we must keep, as listed above, stay with your name and email taken off the account and ticket records, and are deleted when their period ends. The text of messages stays until then, so personal details you typed into a message may stay in it. Technician tax forms are kept for their 7 years even after deletion.
  • Security logs: these record who did what to which record (ids, actions, the names of changed fields, IP address and device type, never the content of messages). They are kept for 2 years and then deleted, and they cannot be changed or deleted before then.
  • Backups and logs that hold copies can take extra time to clear.
You can delete your account in the app under Settings, then Danger zone, then Delete account. See how to delete your account. Some things hold up deletion until they are settled, such as an open paid visit, an unpaid balance, or an App Store or Google Play subscription, which only you can cancel in the store.

11. Security

We use these protections:
  • Data in transit uses HTTPS (TLS) between your device, this website, the app and our servers.
  • Our database and file storage are run by a cloud database provider, which states that customer data is encrypted at rest. A separate web host serves this website.
  • Access to records in our database is limited by role. Customers can read their own records, and agents and technicians work from first names and case details.
  • Card numbers go to our payment processor and never reach our servers.
  • Fixie asks for your agreement before it sends data to AI providers, and a fix on a managed computer runs only after you tap Allow.
Messages and tickets are stored on our servers in a form our systems and authorized staff can read, so they are not end-to-end encrypted. We review our own code for security problems, but we have not had an independent security audit or certification, and no system is perfectly secure. Use a strong, unique password. If a breach affects you, we will tell you as the law requires.

12. Your rights and choices

Wherever you live, you can ask us what information we hold about you, ask for a copy, ask us to correct or delete it, and withdraw your agreement to Fixie's use of your data. Many of these are self-serve in the app: edit your profile, see and delete Fixie's memory in My setup, change notifications in Settings, and delete your account. For anything else, write to contact@ifixedit.io from the email address on your account.
If you live in California, Colorado, Connecticut, Virginia, Texas, Oregon or another state with a privacy law, you may also have the right to know the categories of personal information we collect, use and share (this policy lists them), to get a portable copy, to opt out of sale, sharing and targeted advertising (section 8), to limit use of sensitive information (we use precise location and financial information only to provide the service), and not to be treated worse for using these rights. Some of these laws apply only to larger businesses, and we may not be covered by every one, but we handle requests from everyone in the same way.
How we handle requests. We confirm it is you before acting, usually by replying to the email address on your account. We answer within 45 days and tell you if we need more time. You can use an authorized agent, and we will ask for proof of their authority. We may keep information we are required to keep, such as payment and tax records, or need for a dispute, and we will tell you if we do.
Appeals. If we refuse your request, reply to our answer or email contact@ifixedit.io with the subject "Appeal". We will answer within 45 days. If you are still not satisfied, you may contact your state attorney general.
California. The categories of personal information we collect are in section 2, the recipients are in section 6, the purposes are in section 3, and how long we keep each are in section 10.

13. Children

iFixediT is for adults. You must be at least 18 to create an account, as our Terms of Service say. The app does not ask for your age, and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, email contact@ifixedit.io and we will delete it.

14. Where information is processed

iFixediT serves people in the United States and is not directed to people elsewhere. Our providers may process information in the United States and in other countries where they operate.

15. Changes to this policy

We will update this page when what we do changes, and change the date at the top. If a change is significant, we will tell you by email or in the app before it takes effect. If we change what Fixie does with your data, the app asks for your agreement again.
